Services and Processes

Yes, we offer translation, revision and proofreading services for all types of projects (marketing, banking, financial, real estate, technical, legal, etc.) and documents (Word, PowerPoint, Excel, PDF, etc.). We can also work directly in our clients’ internal systems or with the software they use. For an overview of our skills or to have your project and documents evaluated, please do not hesitate to contact us.

Yes. We offer adaptation services; for example, we can adapt texts from Europe for the Quebec or Canadian market. We also offer transcreation services for the translation of slogans, advertising copy (romance copy) or sales presentations (pitches), invoiced at an hourly rate. Finally, we help our clients adapt their texts for inclusive writing. Period, midpoint, dash, parentheses, gender-neutral writing – we can help you choose the most appropriate option and standardize your content accordingly. This service is also offered at an hourly rate.

Yes, we do offer Rush services for projects requiring translation or revision more quickly than usual. Depending on your needs, Rush or Ultra-Rush delivery options can be offered after an analysis. Please note that an additional cost applies to the per-word or hourly rate for these services, which are primarily offered in emergencies. We accept Rush requests as long as they are realistic and achievable within the requested turnaround.

To maintain the high quality of our services, we have chosen to specialize in a limited number of language pairs. That is why we only offer translations and revisions in French, English and Spanish.

We can process all types of texts whether they are intended for a wide audience or for your internal organization. This includes press releases, staff emails, training materials, sales presentations, product packaging, websites, information brochures, research reports, financial statements, TV, print and radio ads, magazines, books and novels, HR communications, and much more!

The turnaround varies according to the type of task and the number of words in your project. For a translation of over 1,000 words, you should generally allow 48 hours. We analyze each request individually, and then give you a precise deadline for the delivery of your documents.

We support you from the moment we receive your request through to post-delivery follow-up. Your satisfaction is our top priority, and our job is to help you at every stage of your project. We are always available to answer your questions, whether about a translation, a revision or a proofreading comment; however, please note that any text additions or changes to the source file after delivery will require a new project request, and additional charges may apply.

No. Our mission is to translate or improve your texts so that they accurately reflect what you want to communicate. We need to work with a text that has already been drafted and optimize it to its full potential.

We do not offer predetermined banks of hours; however, we do offer monthly billing, which allows you to consolidate all your projects for the month on a single invoice sent on the last working day of the month. For occasional needs of a few words or sentences, please note that each request is billed at a minimum of 30 minutes. Translation projects under 100 words (excluding transcreation) are also subject to this billing schedule.

Yes, sometimes we accept requests from individuals with specific needs, which we analyze on a case-by-case basis; however, as Maxime Collins Inc. chooses its clients carefully, we reserve the right to refuse certain projects that do not align with our values. When we accept a mandate from an individual, a deposit of 30% to 50% of the total project cost is required before the process can begin.

As soon as we receive your request, we analyze the document, and our internal system calculates the total word count to establish the cost of the project. A delivery date is then sent to you. Once your approval has been received, the translation process begins.

  1. Translation – A first language specialist from our in-house team performs the translation, taking into account the source document, your guidelines and any particular elements (terminology, hyperlinks, frozen images, logos, trademarks, symbols, punctuation, style guides, official names, job titles, etc.).
  2. Revision – A second language specialist then proceeds with a complete revision of the translated document, offering a fresh perspective. This specialist eliminates any remaining typos, confirms terminological consistency and ensures that all questions have been answered.
  3. Quality assurance – A third person generates the final document and compares it with the source document to rectify the presentation if necessary, while confirming that the translation complies with Maxime Collins Inc. quality standards.

The final document is then delivered to you, along with any relevant comments.

Our core team consists of four to five full-time employees. We also collaborate with a network of professionals for certain mandates or language pairs. The majority of our employees and collaborators have over 12 years’ experience in translation and revision. Many have worked for international translation agencies or in the language departments of well-known companies. Our team members have years of study in their mother tongue, and many have earned recognized language certifications. So you’re in good hands!

Our offices are open Monday to Friday, from 9 a.m. to 5 p.m. In order to maintain a good work–life balance for our teams, we do not normally offer evening or weekend services. Exceptions may be considered upon request and will be evaluated case by case. Additional fees may apply.

Pricing and Billing

It is natural to want to know how much a translation or revision will cost so you can plan your budget accordingly. As each project is unique, we analyze each request individually and provide you with a detailed estimate. We can also prepare an official quote for you to sign, at your convenience, to start a translation or revision project.

We offer both options, depending on your needs. Per-word pricing lets you know the total cost of the project in advance ($0.XX/word × number of words = total price + sales tax); however, when the mandate goes beyond simple translation and includes, for example, management, revision, proofreading or editing, an hourly rate is often preferred.

Revision, proofreading, editing and adaptation services are billed at a fixed hourly rate.

Because every project is unique, our prices are tailored to your needs. For an initial request, we will analyze your documents and draw up a detailed price list. Once this price grid is in place, your rates are fixed and guaranteed for a full year. Please note that our price scale follows the Consumer Price Index (CPI) and may be adjusted annually. We offer two options: one-time billing (an invoice is sent after each project is delivered) or monthly billing (an invoice listing all projects achieved during the month is sent on the last business day of the month). The choice depends on your preferences and the volume of your requests. Payment is due within thirty days of invoice submission (Net 30).

We accept electronic funds transfers, bank transfers, Interac transfers and Canadian-dollar cheques issued in Canada.

For projects under 10,000 words, the management fee is already included in the cost per word (translation) or in the hourly rate (revision); however, additional charges may apply for larger projects (over 10,000 words) or over a longer period of time (more than one month).

For revision and proofreading, an estimate of the total price is prepared after your text has been analyzed. The quality and type of copywriting influence the estimated time. There could therefore be a 5% variation from the final cost. Unfortunately, without a sample of your text, it is impossible to provide a reliable estimate.

Finally, please note that certain costs, such as those related to page layout or manual content extraction (PPT or PDF files to be reassembled, transcription of images or subtitles) are not considered management fees and can be billed as an extra charge.

Layout and Graphics

Yes, our in-house systems enable us to faithfully reproduce the layout of your original document if it’s in Word, PowerPoint or Excel format. In the case of PDF files, slight differences may occur, depending on how your document has been prepared.

Please note that we cannot automatically extract text embedded in images (e.g., logos, screenshots or graphics). In these cases, manual extraction is required. We also offer this service at an additional cost.

We make every effort to ensure that your translated document accurately reflects the layout of the original; however, as we are not a graphic design agency, our role remains focused on text. We can therefore translate your logos, slogans, images and other visual elements, but we recommend that you have them finalized by a professional graphic designer to ensure optimal results.

Use of Artificial Intelligence (AI)

Artificial intelligence can help us manage our requests and priorities, but no translation or revision is entrusted strictly to AI. All our assignments are carried out by human translators and revisers, according to our rigorous quality assurance processes. We prioritize expertise, sensitivity and critical thinking in order to offer a high-end service that clearly stands out from generic, machine-generated translations produced by AI.

Yes, we offer this service; however, we recommend exercising caution with large documents, as the cost of revision can sometimes exceed the cost of a translation done from scratch. It is important to be proficient with your tools if you choose this option. The most frequent problems with machine translations concern the consistency of terminology in the document, which can lead to numerous corrections. If you have any questions or would like to discuss your needs and processes, feel free to contact us.

Data Transmission and Security

There are three possible methods:

  1. Online form: For an initial enquiry, please use our Contact us form. Simply enter your contact details and attach your documents.
  2. Secure portals: Once we have established contact, we will give you access to our portals (in French and English) to facilitate the transmission of your projects. You will be able to specify the desired deadline and add any important information directly in the online portal. An access code is available on request.
  3. Email: You can also send an email with your requests directly to our service box.

We give our clients the freedom to choose the method that suits them best. Some prefer to use their own management platforms or applications (e.g., Monday, Trello, Jira). Do not hesitate to contact us if this is your case.

Yes. Our portals and management system are hosted on secure servers located in Quebec (Canada*). Data and documents sent via our system are stored for a maximum of seven days before being destroyed. We guarantee the confidentiality of your projects and information from the moment you send them to us until final delivery. Delivered projects are stored on our servers for a maximum of 21 days before destruction. For clients who wish to keep a copy of their projects for up to 365 days, we offer special agreements. *Please note that we also work with third-party services that may use servers located outside of Canada.
